Collection of your Personal Information

Orion SafetyLane® is a mobile application used independently or in conjunction with the portfolio of Orion™ mobile and cloud-based applications. Orion SafetyLane® assists motor pool maintenance staff by ensuring transport vehicles are compliant with USDoT regulations.

Orion SafetyLane® collects personally identifiable information, such as your location, e-mail address, name, home or work address, and telephone number. Orion SafetyLane® may also collect anonymous demographic information, which is not unique to you, such as ZIP code, age, gender, preferences, interests, and favorites.

There is also information about your computer hardware and software that is automatically collected by Orion SafetyLane®. This information can include your IP address, browser type, domain names, access times, and referring website addresses. This information is used for operation of the service, maintaining service quality, and providing general statistics regarding use of Orion SafetyLane®.

Other Information Collected Through the Orion SafetyLane® App

Location: We periodically record your location in compliance with regulatory requirements and to show authorized law enforcement officials where and when you have traveled.

Driver Logs: Information includes when, where, and for how long you stopped or drove.

Documents: We record manifests, bills of lading, vehicle registration information, driver's license information, HAZMAT documentation, and other information pertaining to freight operations.

Pictures: Pictures of compliance with USDoT regulations may be recorded. Personal pictures not associated with compliance activities are not intentionally recorded.

Text Messages: Inbound and outbound messages may be recorded.

Your Profile: Optional information you provide that enables shop and maintenance personnel to contact you.

Use of Your Personal Information

Orion SafetyLane® collects and uses personal information to operate services and provide requested functionality. Orion SafetyLane® may also use personal information to inform users about products, services, updates, surveys, and support-related communications.

Orion SafetyLane® does not sell, rent, or lease customer information to third parties. Trusted service providers may receive information solely for providing services on behalf of Orion SafetyLane® and are required to maintain confidentiality.

Information Sharing

Your information may be shared with:

  • Vehicle Fleet Operators when you are operating under their authority.
  • Authorized third parties involved in transportation operations, including dispatchers, maintenance staff, freight managers, receivers, shippers, cartage agents, and similar parties.
  • Authorized law enforcement agencies for compliance verification and regulatory purposes.
  • Service providers assisting with technical support, analytics, communications, and operations.

Orion SafetyLane® may disclose personal information when required by law or when necessary to protect legal rights, comply with legal processes, or protect the safety of users and the public.

Data Retention

Orion SafetyLane retains personal information only as long as necessary to provide services, comply with applicable laws and regulations, resolve disputes, and enforce agreements.

Because Orion SafetyLane® can be used for safety inspections, historical maintenance records, insurance, and USDoT compliance, certain records may be retained for periods required by federal, state, and local regulations, including FMCSA requirements.

Your information may be shared with the following individuals for specific purposes that you agree:

  • Maintenance logs, location records, messages, vehicle activity records, and compliance-related documents may be retained for up to six (6) years or longer when required by law.
  • Account information may be retained while an account remains active.
  • Customer support records and communications may be retained for operational, auditing, and legal purposes.
  • Information that is no longer required will be securely deleted or anonymized.

Upon receiving and verifying a deletion request, Orion SafetyLane® will delete or anonymize personal information that is no longer required for legal, regulatory, operational, contractual, or compliance purposes.

Certain information may be retained where required by law, USDoT or insurance regulations, audit requirements, litigation holds, or law enforcement requests.
